Job Description

Boutique, Manhattan based (Union Square) architectural interior design firm is seeking an experienced, part to full-time Office Manager/Bookkeeper.
In this role, he/she will oversee and work with the Principal with the following aspects of Finance:
• Overseeing all phases of Accounts Payable and Receivable, including timely and accurate invoice and check preparation and mailing, vendor setup and maintenance, entering billing information into Studio Designer, and producing financial reports and analyses as required.
• Manage project reimbursements and reconcile weekly and reconcile bank statements monthly.
• Gathering time from Studio Designer to process and create monthly invoices.
• Liaising with outside parties regarding billing, preparing, and distributing year end 1099 and W2s, submitting semi-weekly payroll and quarterly payroll taxes and reports, working with the organization’s CPA to prepare for tax filings, and general banking.
• Assisting the Principal with budget development and strategic planning by providing accurate and timely reports.
• Administration and maintenance of professional insurance-policies, track payments/dates of renewal and compliance.

Additionally, he/she will oversee and work with the principal with the following aspects of Human Resources:
• Maintaining attendance records and ongoing attendance log.
• Approving employee requested PTO as necessary and forward employee time-off to outside PEO on a semi-monthly basis.
• Managing employee personnel files.
• Assist Team Members with general questions concerning benefits.
• Collaborate with new hires, company policy and manuals, employee job descriptions, expectations etc.
• Perform onboarding and offboarding of Team Members with Principal and/or manager. Which includes, but is not limited to: Employee setup / termination and documentation, orientation, review of office policies, exit interviews, etc.

Job Requirements

• Associates Degree required; Bachelor’s Degree preferred
• Three Plus (3+) years of relevant Office Management/Bookkeeping
• Experience working with Hourly Billing is required
• Proficiency of Studio Designer is required
• Ability to interface with Payroll Company (ADP)
• Ability to work independently and as part of a team
• Strong communication skills to interface with clients and PSD team
• Knowledge of the interior design business is preferred but not required
